Private Parties at Seven Locks

(1.) Definition and Approval:

  • Any member (unit) hosting more than 5 guests during (or outside) regular pool operating hours is considered to be hosting a private party
  • All private parties (as defined above) MUST be registered and approved by our social chair: [email protected]
  • Only Full Memberships and August Memberships (during the month of August) may host private parties

(2.) Considerations for approval:

  • Pool functions have priority over private parties:
    • Swim + Dive Meets
    • General Membership Social Events (Ice Cream Socials, Movie Nights, etc.)
  • NO private parties are permitted on the following Holidays:
    • Memorial Day & Weekend (Fri, 5/22/26 – Mon, 5/25/26)
    • Juneteenth (Fri, 6/19/26)
    • (Sat) July 4th  or  (Sun) July 5th
    • Labor Day & Weekend (Sat, 9/5/26 – Mon 9/7/26)
  • Staffing:
    • For larger parties on busy days additional lifeguard staffing may be required
    • The board must be able to arrange for extra lifeguards with the pool management
  • * A request to host a party may NOT be approved if it is determined that the party would be disruptive to regular pool operations *

(3.) Details for Reservations:

  • Costs:
    • 6 to 15 people (members AND guests included) = $350
    • 16 to 30 people (members AND guests included) = $450
  • Time Block Options:
    • Morning block: 11:30am – 2:30pm
    • Evening block: 4:30pm – 7:30pm
  • What IS included:
    • Fees listed above cover the cost for guests, and a 3 hour limited reservation of space and tables under the LARGE pavilion
      • 6 – 15 people (members AND guests) = 2 tables
      • 16 – 30 people (members AND guests) = 3 tables
      • 3 hr reservation includes: 30 min set-up, 2 hr party, 30 min clean-up
    • Gas grills and grill tools are available for use by private parties
  • What is NOT included:
    • The small pavilions and the pergola may NOT be used for a private party
    • Pool umbrella tables and picnic tables may NOT be reserved for a private party
    • These facilities are available to all members on a first-come, first-served basis
    • Lifeguards may NOT be utilized as party hosts, helpers, or for clean-up and/or babysitting/supervision

(4.) Food and Beverage:

  • Food may be brought into the facility for a party considering:
    • NO GLASS OF ANY SORT IS ALLOWED (this includes containers, dishes, bottles, etc.)
    • Food and drinks must kept under the pavilion, off the pool deck, and away from the pool
    • The party host is responsible for a complete clean-up after the party
    • There will be ZERO tolerance for underage drinking
  •  If use of the pool’s freezer is requested, arrangements with the social chair must be made in advance and is subject to approval
    • Approval for use is limited to storage for cakes, cupcakes, and/or ice cream or popsicles during the 3 hr window reservation only
    • Members may only access the storage shed and freezer with a lifeguard on duty
  • The snack bar is operated by an outside contractor and is not available for rent for private parties
    • Members and their party guests may purchase items from the snack bar during the party if it is open

(5.) All party participants (Members AND Guests) must:

  • Abide by all Seven Locks Swim and Tennis Club rules and regulations at all times.
    • Loud or disruptive behavior will result in immediate termination of the party with no refund
    • There will be ZERO tolerance for underage drinking
    • Any violation of the above will result in immediate removal from the premises, fines, and/or termination of membership

(6.) Inclement weather (or other unforeseen circumstances):

  • Should the pool area need to be vacated (due to thunder or lightning for example) the party will be terminated and the pool area cleared immediately in accordance with the Seven Locks safety policy.
  • This decision will be made by the pool manager on duty, and is not subject to any discussion.
  • If a party is cancelled due to weather, please reach out to [email protected] to discuss rescheduling or refund options.

(7.) Cancellations:

  • All cancellation requests must be made in writing (to [email protected]) at least one week prior to the event
  • Cancellations due to inclement weather are exempt from this requirement
